Terms
Plain-English terms for using this college's student system and Learn.
Who can use the service
These terms cover the student system and Learn on this college's addresses. They are for applicants, students, staff, and other people the college has allowed to sign in. Use the college's own address. An account from a different college does not open records here.
The college keeps its own student records and makes its own decisions about admissions, assessment and study. Collegene provides the software.
Accounts and sign-in
An account is for the person it was issued to. Do not share a password, a passkey, or a signed-in browser. Sign out on a shared computer. Where the student system offers Continue with Microsoft, Google, Apple, Facebook or Sign in with a passkey, that method is available only if the college has switched it on. Learn offers Continue with Google, Continue with Microsoft when the college has switched it on, Continue with your college account, and email and password.
On the student system, staff may be asked for a code from an authenticator app before they can see records. On Learn, teaching tools stay closed until the session has passed an authenticator. If you think someone else has used your account, tell the college and change the password with the provider you use to sign in. You are responsible for activity under your account until you tell the college.
Acceptable use
Use the service for study, an application, or college work. Do not try to break the service, look at another person's record without permission, interfere with another person's study, or upload a harmful file.
Do not present an assistant answer as a checked fact. Read the sources, and check anything important with the college. Follow the college's own rules on assessment and conduct. Those rules belong to the college, not to this page.
College content and intellectual property
Lessons, recordings, files and other materials the college puts on the service belong to the college or to its licensors. You may use them for your own study or work at the college. You may not copy them for other people, publish them, or sell them, unless the college has allowed that in writing.
The Collegene name and software belong to Collegene. These terms do not give you ownership of the software.
Your notes and uploads
Notes and highlights you save are stored for your account so you can read them on that lesson. Do not put another person's private information in a note. You keep your own wording. The college may need to see a note where its rules or the law require that.
Files you upload for an application are for the college to consider that application. The upload accepts a PDF, a JPEG or a PNG, up to 10 MB each. Do not upload a file you have no right to share.
The assistant
The assistant is available only where the college switches it on. It answers from published information and, if you are signed in, from your own records. It can be wrong. It is read only: it never approves, decides or sends anything. It does not decide admissions, offers or grades. Check important facts with the college. The privacy notice explains messages once the assistant is on.
Availability and changes
The service can be interrupted for maintenance, faults or changes. A video quality, an offline copy, Microsoft sign-in, or the assistant may be absent because the college has not switched it on or the lesson does not have that file. The college and Collegene can change, add or remove parts of the service.
Suspension
The college can suspend or close an account that breaks these terms, or that it needs to suspend to protect other people or the service. You can ask the college to review that, using a published contact address. These terms do not set a reply time.
Liability
The service is for study and college administration. To the extent the law allows, the college and Collegene are not responsible for loss that the law does not require them to cover. That includes loss from an assistant mistake, from a page or video being unavailable, or from relying on the service as a substitute for asking the college.
Nothing in these terms limits liability that the law says cannot be limited.
Changes to these terms
The college can update these terms when the service or the law changes. The date at the top of this page is when this wording was last updated. The version on the page when you use the service is the one that applies. If you do not agree to an update, stop using the service and tell the college.
Governing law
These terms are read under the law that applies to the college. This site does not name a country or a court, because that detail is not part of the published college record. Ask the college if you need it.
Contact
Questions about your course, application or record go to the college, using Contact or Talk to a person. Questions about the software can go to Collegene through the college, which runs this site. The privacy notice and the data deletion page explain personal data. The cookies page lists the cookies and saved preferences these apps set.
